Workflow Automation
Removing the manual steps between systems: the copying, the chasing and the re-keying, automated once the underlying process is worth keeping.
Überblick
Most organisations have a set of small, invisible tasks that consume real time: copying a record from one system to another, chasing an approval, formatting the same report weekly, re-keying an order. Individually trivial, collectively a substantial share of somebody's job.
These are worth automating, with one condition. Automating a process nobody has questioned preserves it permanently, including the steps that exist because of a decision made years ago by someone who has left. We look at the process first and quite often remove steps rather than automate them.
Für wen das gedacht ist
- Companies where staff move data between systems by hand
- Teams with weekly reports assembled manually every week
- Businesses whose processes depend on someone remembering to chase
Unser Vorgehen bei Workflow Automation
Die konkreten Arbeitspakete eines typischen Projekts. Der Umfang steht vorab fest, nichts davon taucht später als Überraschung auf der Rechnung auf.
Process mapping
The workflow as it actually runs, including the exceptions people handle informally. The exceptions usually decide the design.
Step elimination
Removing steps that exist for historical reasons before automating what remains. Cheaper than any automation.
Integration build
Connecting systems directly or through an automation platform, chosen against volume and who will maintain it.
Approval and notification flows
Routing that chases on your behalf, with escalation when something sits too long.
Error handling
What happens when a step fails, including alerting a human. Silent failure is the main risk in automated workflows.
Documentation and ownership
Written down with a named owner, so automations do not become mysteries when their author leaves.
Vom ersten Gespräch zum gemessenen Ergebnis
Immer dieselbe Reihenfolge, damit Sie wissen, was als Nächstes kommt.
Map
Observe the process and record it honestly, workarounds included.
Simplify
Remove or merge steps, and confirm what remains is genuinely needed.
Automate
Build the automation with error handling and alerting, starting with the highest-volume step.
Hand over
Document, assign an owner, and train whoever will maintain it.
Ergebnisse statt Aktenordner
Ein Stapel Dokumente ist kein Fortschritt. Das hier sind die Veränderungen, die die Arbeit bewirken soll.
Hours returned
Small repeated tasks add up quickly, and removing them is immediately visible to the people doing them.
Fewer transcription errors
Every manual copy between systems is an opportunity for a mistake that surfaces much later.
Processes that get questioned
The mapping step routinely removes more work than the automation does.
Failures that are noticed
Proper error handling prevents the silent breakage that makes people distrust automation.
Häufige Fragen zu Workflow Automation
Was Kundinnen und Kunden fragen, bevor sie sich melden. Fehlt Ihre Frage, stellen Sie sie uns direkt.
Should we use a no-code platform or build integrations?
No-code platforms for low volume and simple logic, where the value is speed and your team can maintain it. Direct integration when volume is high, per-operation costs would mount, or the logic is genuinely complicated. The maintenance question usually decides it.
What should we automate first?
The highest-frequency, lowest-judgement task. Frequency makes the saving real and low judgement makes the automation reliable. Automating an infrequent complicated task is the common mistake.
What if the automation breaks?
It will occasionally, usually when a system on the other end changes. That is why error handling and alerting are part of the build rather than an addition. Silent failure is far worse than a visible one.
Will this replace jobs?
In our experience it removes the least satisfying parts of jobs rather than the jobs. It is worth being straightforward with the team about this from the start, because they know their process better than anyone and are the best source of what to automate.
